WhatsApp as a sales channel: how to connect an agent that knows your client

Use WhatsApp as a sales channel with an agent connected to your CRM and to each client's memory: follow-ups, templates and smooth handoffs to your team.

WhatsApp as a sales channel: how to connect an agent that knows your client

The problemYour clients message you on WhatsApp, but the conversations live on personal phones and nobody follows up with context.

Thursday, 12:05 p.m. The buyer for a hardware store chain messages your distribution company on WhatsApp: "Hi, same as last month but with twenty more cases of the galvanized fasteners. Can it arrive before Tuesday?" The automated reply comes back in a second: "Hi! Welcome. Choose an option: 1. Catalog 2. Hours 3. Talk to a representative." She picks 3. She waits. At 4:00 p.m., a rep who does not know her asks for her name, her company and what she ordered last month. Using WhatsApp as a sales channel is not about having a number with a menu. It is about whoever replies knowing who she is.

Why WhatsApp as a sales channel works (and gets messy)

Across much of Latin America, Spain and Europe, WhatsApp is where business conversations already happen. In the US, the same role is often played by SMS and web chat, and everything in this article applies to those channels too. Clients prefer messaging because it is immediate and personal; reps like it because people actually reply. The problem is not the channel. It is how it is used:

  • Chats live on personal phones. If the rep leaves, they take the history with them and, sometimes, the client.
  • There is no connection to the CRM. What was agreed over WhatsApp does not appear in any system, so nobody else can follow up.
  • Bots don't know the client. They answer a brand-new prospect exactly like a ten-year customer.
  • Follow-up depends on memory. "I'll confirm tomorrow" is easy to forget with forty open chats.

What changes with an agent connected to your client

A WhatsApp sales agent is a program that uses an AI model to talk with your clients and act within rules you define. What sets it apart from a menu bot is its connections:

  1. Client memory. Before replying, the agent checks the client file: who they are, what they buy, how often, what terms they have, who their assigned rep is. Here is how to design that file: one file per client.
  2. The CRM. It reads opportunities and orders, and logs every conversation with a summary, the next step and the committed date.
  3. Operations systems. It checks inventory, current pricing and delivery times so it never promises what does not exist.
  4. The human team. It knows when to pass the conversation to the rep and hands over the full context.

With that in place, the 12:05 p.m. buyer would get something like: "Hi, Patricia. I'm repeating your August 14 order with twenty more cases of galvanized fasteners. It's in stock and arrives Monday. Here's the summary to confirm." The order is prepared, and George, her rep, gets an alert to review it.

Follow-ups and templates: selling even when the client isn't writing

Much of the value of WhatsApp as a sales channel lies in the messages your company sends out: following up on a quote, reminding a client of a meeting, letting them know the product they were waiting for has arrived. Here you need to know one rule of the WhatsApp Business Platform: outside the service window opened by the client's last message, you can only start the conversation with pre-approved templates.

That is why the agent's design includes its template library. The most useful ones in sales:

  • Quote follow-up: "Did you get a chance to review the proposal we sent on Tuesday?"
  • Meeting or visit reminder, with the option to confirm or reschedule.
  • Reorder: a heads-up when the date the client usually reorders is approaching.
  • Availability: the product they asked for that was out of stock is now in the warehouse.
  • Reactivation of clients who have not bought in a while, with a concrete reason to reach out.

The agent decides when to send each one based on the client file and the frequency rules you define. Nobody wants five messages a week from a vendor.

When a person takes over

The agent handles the repetitive work; your team handles what matters. Define clearly when a handoff happens:

SituationWho responds
Repeat order on usual termsAgent, with rep confirmation
Questions on product, availability or lead timesAgent
Discount or off-list pricingRep or manager approves
Complaint or problem with an orderPerson, with a case summary
Client asks to talk to someonePerson, always
Annual contract negotiationRep

The handoff works both ways. When the rep steps into the conversation, the agent steps back and does not interrupt. When the rep is done, they can hand the follow-up back to the agent with an instruction: "Remind her on Friday that the offer expires Monday."

Illustrative example: the beverage distributor

Illustrative example. Picture a beverage distributor that serves hundreds of stores and restaurants. Its route reps take orders over WhatsApp from their personal phones.

Before, when a rep got sick, their clients wrote in and nobody answered. Orders were copied by hand into a spreadsheet, with quantity errors. Nobody knew which store had gone three weeks without ordering.

Now, sales conversations move to a company number connected to an agent. Each store has its file with its usual order, delivery days and assigned rep. The agent takes repeat orders, confirms availability and logs them in the system; the rep approves them in bulk every morning. If a store stops ordering, the agent sends a reactivation template and alerts the rep. When someone writes at 11:00 p.m., as in the 11 p.m. lead, they get a reply with context instead of silence.

Common mistakes

  • Setting up a menu and calling it an agent. If the client has to pick options so someone can get back to them hours later, nothing has changed.
  • Connecting WhatsApp without connecting the CRM. The agent replies fast, but what was agreed still gets lost.
  • Sending too many messages. Templates are for useful follow-up, not spam.
  • Not defining the handoff. The agent and the rep replying at the same time confuse the client.
  • Treating WhatsApp as a separate system. It should be one more channel of the same system, with the same memory as voice, email and web. That is the idea behind a Company OS.

What to do on Monday

Ask your sales team how many clients they serve over WhatsApp and from which phones. If the answer is "from mine," your relationship with those clients currently depends on each individual rep. That is the first risk to address.

At Addabra, we build the WhatsApp agent as part of a Sales OS: connected to your CRM and to each client's brain, with templates designed for your process, handoff rules by role and a log of every conversation. Your team remains the face of the relationship; the agent makes sure no message is ever left without context.

Frequently asked questions

What is the difference between a WhatsApp bot and a sales agent?

A classic bot follows menus and canned replies. An agent understands what the client writes, checks their history and your business information, and acts within rules: it quotes, books, logs to the CRM or hands the conversation to a person.

Can I message a client on WhatsApp whenever I want?

On the WhatsApp Business Platform, outside the service window opened by the client's last message, you can only start conversations with pre-approved templates. That is why it pays to design the follow-up and reminder templates your agent will use from the start.

What happens to the chats that live on my reps' phones today?

The recommended move is to shift sales conversations to a company number connected to the system, so the history belongs to the company and not to the individual. That way, if a rep changes accounts or leaves, the client relationship stays intact.
